Elite Pickleball Coaching, LLC
Effective date: October 23, 2026

This Privacy Policy explains how Elite Pickleball Coaching, LLC ("Elite Pickleball Coaching," "EPC," "we," "us") collects, uses and shares information when you use our mobile apps, our web apps (including athlete.elitepickleballcoaching.com) and our website elitepickleballcoaching.com, including buying, giving and redeeming products on the website (together, the "Services").

If you have questions, contact us at support@elitepickleballcoaching.com, call +1-888-735-9350, or write to Elite Pickleball Coaching, LLC, 300 Perrine Road, Suite 311, Old Bridge, NJ 08857, USA.

1. Information we collect

Information you give us

  • Account information: name, email address, password (stored in protected form), date of birth and gender, and, if you sign in with Google or Apple, the basic profile information those services share with us. You can create your account in the apps or on our website when you buy or redeem a gift.
  • Profile information: skill level, training goals, playing preferences, profile photo and similar details you choose to add.
  • Purchases: what you buy, when, the price, any promo code you used, and the page or link that brought you to the purchase. Payments are processed by Apple, Google or Stripe; we do not receive or store your full card number.
  • Videos and coaching content: practice and match videos you upload or record, notes, questions, and the coaching feedback, annotations and reports created for you.
  • Messages: chats with coaches, class group chats, support chats and, if you use Player Connect, messages with other players, plus any reports you make about a message, photo or user. EPC staff can review all chats for safety (section 5).
  • Live sessions: your audio, video and chat when you join a live stream or video call. Live streams and calls may be recorded so you can rewatch them; all video calls with athletes under 18 are recorded.
  • Player Connect (if you turn it on): your phone number for verification (not shown to other players); your city or ZIP code, skill level, availability, preferred courts and the profile details you choose to show. We use your location only to estimate distance between players; we never show your exact location to other players.
  • Minor accounts: for athletes aged 13–17, a parent or guardian's name and email address and the signed participation waiver.
  • Signed waivers: when you (or, for an athlete aged 13–17, a parent or guardian) sign our participation waiver, we keep a copy of the signed waiver together with evidence of the signing: your name, email address, date of birth and account ID, your signature, the version of the waiver you signed, the date and time, the IP address and the approximate location (city, region and country) derived from it, and the type of device, operating system, app version or browser used. We use this only to record and, if needed, prove that the waiver was signed. You can view or download your signed waiver in your account.
  • Gifts: if you buy a gift, your name and email address, the recipient's name and email address, your message and the send date; we use them only to deliver and manage the gift, send you a receipt, and answer refund requests. If a player aged 13–17 redeems a gift, we also collect their parent or guardian's name and email address and record that the parent or guardian agreed, and we email the parent or guardian to let them know.
  • Email sign-ups: if you sign up on our website for "Free This Week," Player Connect news or Academy news, your email address and, if you give them, your first name and ZIP code, plus your confirmation that you're 18 or older (or a parent).
  • Contact form and support: your name, email address and message when you contact us through the website or by email or phone, and information you give when you answer surveys or take part in promotions.
  • Privacy requests: the details you give when you ask us not to sell or share your information or to see, correct or delete it, and our record of how we handled the request.

Information collected automatically

  • Device and usage information: device type, operating system, app version, browser, IP address, general location derived from the IP address, pages and screens viewed, features used, workouts started and completed, and dates and times of use.
  • Website analytics: on our website we use PostHog to understand how visitors use it: pages viewed, the link, ad or promo code that brought you, clicks, and whether you started a checkout, gift or sign-up. We don't include names, email addresses or anything you type in a form in these analytics. We turn analytics off for visitors who opt out on our "Do Not Sell or Share" page or whose browser sends a Global Privacy Control signal.
  • Session recordings: for adult users of the apps, and for visitors to our website, we may record how you move through the app or site (taps, clicks, scrolls and screens) to find and fix usability problems. Text you type is masked, and sensitive screens (such as payment, password, waiver, chat, checkout, gift and contact pages) are excluded. We do not record sessions of users under 18 in the apps.
  • Diagnostics: crash reports and error logs.
  • Push notification tokens: if you allow notifications.
  • Cookies and similar technologies: on our website and web apps we use cookies and browser storage to keep you signed in, remember your choices (including your "Do Not Sell or Share" choice), remember a promo code from a link for your visit, and measure use (PostHog). If we turn on advertising tools such as the Meta Pixel, they also use cookies; see section 3. You can control cookies in your browser settings.

Information from others

  • Payment providers (Apple, Google, Stripe) tell us whether a purchase or subscription succeeded, renewed or was cancelled, and whether a promo code was applied.
  • Sign-in providers (Google, Apple) share the information described above.
  • Coaches add feedback, workouts and reports to your account.
  • Gift buyers give us the recipient's name and email address so we can deliver the gift.

2. How we use information

  • Provide the Services: create your account, process purchases and gifts, deliver training plans, videos, live streams, video reviews and coaching, and give you access to what you purchased on every device.
  • Communicate with you: service messages (receipts, gift emails, password resets, reminders, coach replies) and, where allowed, marketing about our programs, including the email sign-ups you ask for. You can opt out of marketing at any time.
  • Personalize your training: recommend products and workouts that fit your level and goals.
  • Improve the Services: understand how features and pages are used, which links and promo codes bring people to us, fix problems and develop new features.
  • Advertise our programs: if we use advertising tools (section 3), show EPC ads to people likely to be interested and measure whether they work.
  • Keep the Services safe: prevent fraud and abuse (including repeated sign-in attempts), enforce our Terms of Use and protect our users, coaches and EPC.
  • Meet legal obligations and protect legal rights: tax, accounting, record keeping, keeping signed waivers and privacy-request records, and responding to lawful requests and legal claims.

3. How information is shared

  • Your coaches see your profile, uploaded videos, progress and messages so they can coach you. Coaches do not see signed waivers.
  • Your class: in EPC Academy, other members of your class may see your name, messages in the class chat and footage shown during live sessions.
  • Parents and guardians of athletes under 18 can see the minor's purchases, progress and coach messages, and are copied on coach-to-athlete chats. When a player aged 13–17 redeems a gift, we email the parent or guardian they named.
  • Gift buyers see the gift's status and receive a copy of the email we send the recipient. We don't share the recipient's account or training with the buyer.
  • Other players (Player Connect): only the profile details you choose to show, your approximate distance and messages you send.
  • Service providers who process information for us under contract, only to provide their services to us: cloud hosting and storage (Amazon Web Services, including AWS Amplify for our website), video hosting and playback (Vimeo, Mux, YouTube for videos embedded on our website), live video and recording (Agora), notifications, sign-in and crash reporting (Google Firebase), product and website analytics and session recordings (PostHog), error monitoring (Sentry), payments (Stripe, Apple, Google), email and messaging (ActiveCampaign, Customer.io, Amazon SES, Microsoft 365), maps and location lookup (Google Maps), automatic safety checks of chat messages (OpenAI) and of uploaded photos (Amazon Rekognition), and app links (Branch).
  • Advertising partners: we may use advertising tools such as the Meta Pixel on our website. These tools let the advertising company (for example, Meta) receive information about your visit, such as pages viewed and whether you started or completed a purchase, together with your browser's identifiers, so we can show EPC ads to you and others on their platforms and measure them. Some state privacy laws, including California's, treat this as "sharing" personal information for cross-context behavioral advertising. You can opt out at any time on our Do Not Sell or Share My Personal Information page, and we honor Global Privacy Control signals as an opt-out. We do not use these tools for accounts of users under 18.
  • If you connect a third-party account (for example, a rating service), we share what is needed to link it.
  • Legal and safety: when required by law, or to protect the rights, property or safety of EPC, our users or others, including sharing a signed waiver with our attorneys, insurers or a court in connection with a claim.
  • Business transfers: in connection with a merger, acquisition or sale of assets, subject to this Policy.

We do not sell your personal information for money. We do not share it for cross-context behavioral advertising except through the advertising tools described above, which you can opt out of.

4. How long we keep information

We keep account information for as long as your account is open. When you delete your account, we delete or anonymize your personal information within 90 days, except where we must keep it longer for legal, tax, accounting or safety reasons (for example, purchase records and signed waivers). Signed waivers and their signing evidence are kept for as long as a legal claim could be brought, which for athletes who were under 18 continues for a period after they reach adulthood. Coach feedback reports and recordings are kept while your account is active so you can rewatch them. Gift records are kept for as long as we keep purchase records. Email sign-ups are kept until you unsubscribe. Messages and photos held by our automatic safety checks are deleted 90 days after they're held, unless we need them longer to handle a report, protect someone's safety, or meet a legal obligation. Records of privacy requests are kept for at least 24 months. Website analytics are kept in summary form and deleted on a regular schedule.

5. Your choices and rights

  • Access, correct or delete: you can update most information in your account settings, and you can ask us for a copy of your information or to delete your account by emailing support@elitepickleballcoaching.com. You can also delete your account in the app.
  • Marketing: use the unsubscribe link in any marketing email, or turn off marketing notifications in the app's notification settings.
  • Push notifications: turn them off in the app or in your device settings.
  • Do Not Sell or Share: opt out of advertising tools on our Do Not Sell or Share My Personal Information page (for that browser), or by emailing support@elitepickleballcoaching.com or calling +1-888-735-9350 (for your account). A browser opt-out is saved for 18 months; opt out again if you clear your cookies or use another browser.
  • Global Privacy Control: if your browser sends a Global Privacy Control signal, we treat it as an opt-out of sale and sharing for that browser, and we also turn off website analytics.
  • Chat safety: to keep users safe, especially athletes under 18, EPC staff can review every chat in the Services (coach chats, class group chats, support chats and Player Connect messages), and we check photos and messages automatically for harassment, threats, scams and inappropriate content. A message or photo the checks find may be held until EPC reviews it, and photos that clearly break our rules are not saved. In class group chats that include an athlete under 18, messages from athletes that share contact details (phone numbers, email addresses, links or social media handles) are held for review. You can report any message, photo or user, and block other users. We review reports, and we may remove content or suspend accounts that break our Terms of Use. Where the law requires it, we preserve content and report it to the authorities, including reporting apparent child sexual exploitation to the National Center for Missing & Exploited Children (NCMEC).
  • Player Connect: we check profile photos automatically and scan messages automatically for harassment, threats and scams to keep players safe. You can hide your profile or turn Player Connect off at any time.
  • Location: you control whether you share your city or ZIP code.

6. Additional rights for US state residents

If you live in California or another US state with a consumer privacy law, you may have the right to:

  • know what personal information we collect, use and disclose, and get a copy of it;
  • correct inaccurate personal information;
  • delete personal information;
  • opt out of the "sale" or "sharing" of personal information and of targeted advertising (see section 5);
  • not be discriminated against for using these rights. We never charge a different price or give a lesser service because you used them.

How to make a request: email support@elitepickleballcoaching.com or call +1-888-735-9350. For access, correction and deletion we will verify your identity by matching information you give us with the information in your account. Opt-out requests don't require verification. We respond to opt-out requests within 15 business days and to other requests within 45 days (we may extend this once as the law allows). An authorized agent may make a request for you with your written permission; we may ask you to confirm it directly. If we deny your request, you may appeal by replying to our decision; we'll answer the appeal within the time the law requires.

Categories (for California law): in the past 12 months we collected identifiers (such as name, email, IP address), customer records, characteristics such as age and gender, commercial information (purchases), internet activity (website and app use), approximate location, audio and video (uploads, calls and live sessions), and inferences about your training level and preferences, from the sources in section 1, for the purposes in section 2. We disclosed these categories to the service providers and others listed in section 3. If we use advertising tools, internet activity and identifiers may be "shared" with advertising partners. We do not use or disclose sensitive personal information for purposes that require an opt-out under California law.

7. Users in Europe (EEA, UK and Switzerland)

Elite Pickleball Coaching, LLC is the controller of your personal information. We process it to perform our contract with you (providing the Services), based on our legitimate interests (improving and securing the Services, and keeping records needed to establish or defend legal claims, such as signed waivers), with your consent (for example, marketing, website analytics and advertising tools where consent is required), and to comply with legal obligations. Your information is processed in the United States. Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses for transfers. You may also complain to your local data protection authority.

8. Children and teens

The Services are not for children under 13, and we do not knowingly collect personal information from children under 13. Athletes aged 13 to the age of majority where they live may use the Services only with a linked parent or guardian, who confirms their identity by email, signs the participation waiver, and can see the minor's purchases, progress and coach messages. Purchases on our website must be made by an adult. A player aged 13–17 may redeem a gift on our website only with a parent or guardian's name, email address and agreement, and we email that parent or guardian. We do not send marketing to minors, we do not use session recording or advertising tools for them in the apps, and their profiles are never shown publicly. A parent or guardian can ask us to download or delete the minor's information. If you believe a child under 13 has given us information, contact us and we will delete it.

9. Security

We use reasonable administrative, technical and physical safeguards, including encryption in transit and at rest, access controls, limits on repeated sign-in attempts and secure cloud hosting. Signed waivers are stored in a separate, access-restricted and encrypted location that only authorized EPC staff can open, and every access is logged. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Links to other services

The Services may link to websites and services we do not control, such as app stores, social networks and YouTube. Their privacy policies apply to your use of them.

11. Changes to this Policy

We may update this Policy from time to time. We will post the new version with a new effective date and, for significant changes, notify you in the app or by email.
